NetNote Privacy Policy

NetNote is a voice-first memory assistant for professional networking. This policy explains what information NetNote collects, how it is used, and the third-party services involved in delivering the app.

Information We Collect

• Account information. When you sign up, we collect your email address for authentication. If you sign in with Apple or Google, we receive the basic identity information those providers share.
• Voice recordings. When you record a voice memo, audio is captured on your device and transmitted to our speech-to-text provider for transcription. Recordings are not retained on our servers after transcription.
• Contact data you enter. Names, titles, companies, emails, phone numbers, notes, tags, tasks, events, and follow-ups that you create or that are extracted from your voice memos. Because these describe the people you meet, your account may contain personal information about third parties.
• Event profile and photos. When you join an event, you can share a profile — such as your name, company, role, school, LinkedIn, and a photo — with the event's organizer and, subject to your per-field visibility settings, other attendees. Profile photos are stored and served from a publicly accessible URL.
• Usage and analytics data. We use a product-analytics service to understand how the app is used. When you are signed in, analytics events are associated with your account (user ID and email) and include standard technical information such as your IP address, approximate location, device type, and browser or operating system. We do not send your contacts' details, transcripts, or search terms to analytics.
• Device permissions. Microphone access is used to record voice memos. Camera and photo access is used to add a profile or contact photo. These permissions are not used for any other purpose and can be revoked in your device settings at any time.

We do not sell your personal information or use it for third-party advertising.

How We Use Your Information

• To authenticate your account and sync your contacts across your devices.
• To transcribe voice memos and extract structured contact information using AI.
• To draft follow-up messages using AI, when you ask for one.
• To provide event and networking features, including sharing the profile you choose with organizers and other attendees.
• To understand and improve how the app is used through product analytics.
• To provide the core functionality of the app (viewing, editing, and organizing your contacts).

Third-Party Services

NetNote relies on the following processors to deliver the service:

• Supabase — handles authentication and stores your account, contact, and event data. See Supabase's privacy policy.
• Deepgram — transcribes your voice memos (speech-to-text). See Deepgram's privacy policy.
• Google Gemini API — parses voice-memo transcripts to extract structured contact fields, and drafts follow-up messages when you ask for one. See Google's Gemini API terms and privacy policy.
• PostHog — provides the product analytics described above. See PostHog's privacy policy.
• Apple and Google — provide optional sign-in; we receive the identity information you authorize during sign-in.

Data Retention and Deletion

Your contacts and account information are retained as long as your account is active. You can delete individual contacts at any time from within the app. To delete your account and all associated data, contact us at the email address below and we will process the request within 30 days. Security and authentication logs may be retained for up to 90 days, and records we are legally required to keep are retained for the mandated period. Analytics data is retained by our analytics provider under its configured retention settings.

Data Security

Data is transmitted over HTTPS. Account authentication is handled by Supabase using industry-standard practices. No system is perfectly secure; we cannot guarantee absolute security.

Cookies and Local Storage

NetNote uses your device's local storage to keep you signed in and to support analytics. We do not use advertising cookies or cross-site tracking.

Children's Privacy

NetNote is not directed at children under 13 and we do not knowingly collect information from children under 13. If you believe a child has provided us with information, contact us and we will delete it.

International Users

Your information may be processed and stored in the United States or other countries where our service providers — including Supabase, Deepgram, Google, and PostHog — operate. By using NetNote, you consent to this transfer.

Changes to This Policy

We may update this policy. Material changes will be reflected by updating the "Last updated" date at the top of this page.
